SmartTrade Setup
This paragraph describes alle the fields within the SmartTrade Setup table. The fields are categorized by Fast Tab, the same way they are presented within the application.
Fast Tab General
Field | Description |
---|---|
Use Item Variants | This setting indicates the system will make use of Variants. Variants are variations of the items which can be used to define specific characteristics of the product like colors. In SmartTrade Variants are required to monitor all costs involved in buying and selling this variety of the product. This setting on True means variants are required for all Items |
Use Customs Module | This setting indicates the system to make use of the Customs module. As an example, with this setting set to True the system is able to differ inventory quantities in Not Free / Free (Bonded / Non-Bonded) |
Use Orderno. As Variant Code | With this field set to True the order number (Sales / Purchase) will be used as a Variant Code. This setting is also related to the Variant Nos field on the No Series fast tab in the SmartTrade Setup |
Style Unchecked Documents | Indicates the style how unchecked documents are presented on list pages. (not editable) |
Colour Unchecked Documents |
This setting indicates the record color on document lists for unchecked documents. This is related to the Checked and Checked by User ID fields on Sales- and Purchase documents |
Style Released Documents | Indicates the style how released documents are presented on list pages. (not editable) |
Colour Released Documents | This setting indicates the record color for released documents on document lists. This is related to the Status field on Sales- and Purchase documents (Open / Released) |
Save Quotes | This setting indicates if quotes (Sales / Purchase) need to be saved after they have been transferred to an order |
Show Sales Order Availability | On Sales Order Lines this setting indicates if item availability needs to be shown in a specific color pattern. With next Colour settings you can setup which color need to be used for certain situation |
Direct Available Colour | With this setting you can choose the color a Sales Line needs to be shown in case the item is completely available. Following entities are kept in mind for this: Item, Variant, Lot, Unit of Measure, Location, Shipment Date. You are able to choose between next colors:
Standard, StandardAccent, Strong, StrongAccent, Attention, AttentionAccent, Favorable, Unfavorable, Ambiguous, Subordinate (Colors can diver a little depending screen resolution) |
Available on Purchase Order | With this setting you can choose the color a Sales Line needs to be shown in case the item is not available on inventory but a Purchase Line is planned for receipt before the Shipment Date of the Sales Line.Following entities are kept in mind for this: Item, Variant, Lot, Unit of Measure, Location, Shipment Date. You are able to choose between next colors:

Not Available Colour | With this setting you can choose the color a Sales Line needs to be shown in case the item is not available on inventory and there is no Purchase Line planned for receipt before the Shipment Date of the Sales Line. Incoming Colour | With this setting you can choose the color a Sales Line needs to be shown in case the item is available on an incoming location. An incoming location is used when a shipment has left the harbor or airport and the goods have been posted into an In-transit Location. Following entities are kept in mind for this: Item, Variant, Lot, Unit of Measure, Location, Shipment Date. You are able to choose between next colors:Standard, StandardAccent, Strong, StrongAccent, Attention, AttentionAccent, Favorable, Unfavorable, Ambiguous, Subordinate (Colors can diver a little depending screen resolution) |
Sorting Method Variant Pos. | This settings lets you choose the order variants are shown in several availability pages. Options to choose from are: Planning Sequence/THT/Planningdate, Planning Date (THT = Best Before End Date) |
Item Weight UOM | This setting lets you choose in which Unit of Measure (Kg / Gr) the item weight fields will be entered. The systems uses these fields for calculating maximum container load etc. |
Sales Cons. Price Caption | With this setting you can enter the name for the Sales Unit Price fields in Consumer Unit of Measure. (e.g. Sales Price/CE). This is related to the Price./Cons unit field in the item table |
Purchase Cons. Price Caption | With this setting you can enter the name for the Purchase Unit Price fields in Consumer Unit of Measure. (e.g. Purch. Price/CE). This is related to the Price./Cons unit field in the item table |
Cost Cons. Price Caption | With this setting you can enter the name for the Cost Price fields in Consumer Unit of Measure. (e.g. Purch. Price/CE). This is related to the Price./Cons unit field in the item table |
Fast Tab Variant Status
This tab is only shown when the Use Item Variants setting (Fast Tab General) is set to True. The used variants can have different Statuses regarding in which phase the purchase / inventory is in. The statuses and their corresponding sequence can be setup seperatly within table HBSTVariant Status (11214253) accessible via page HBSTVariantstatus List (11214357, List). These variant statuses are present on several variant availability pages.

Purchase Blanket Order Status | With this setting you can set the status for Variants which are available on a Purchase Blanket Order. This is only used when you choose to use variants on Purchase Blanket Orders. This is related to the Variant Rqrd Purch Blkt.Order field on the Purchase Fast Tab in the SmartTrade Setup |
Purchase Order Status | With this setting you can set the status for Variants which are available on a Purchase Order. This is only used when you choose to use variants on Purchase Orders. This is related to the Variant Rqrd Purch Order field on the Purchase Fast Tab in the SmartTrade Setup |
Purchase en Route Status | With this setting you can set the status for Variants which are available on an incoming location. An incoming location is used when a shipment has left the harbor or airport and the goods have been posted into an In-transit Location. |
Free Inventory Status | With this setting you can set the status for variants available on Free inventory (Bonded) |
Not Free Inventory Status | With this setting you can set the status for variants available on Not Free inventory (Non Bonded) |
Sales Blanket Order Status | With this setting you can set the status for Variants which are available on a Sales Blanket Order. This is only used when you choose to use variants on Sales Blanket Orders. This is related to the Variant Rqrd Sales Blkt.Order field on the Sales Fast Tab in the SmartTrade Setup |
Damage Good Status | With this setting you can set the status for Variants which are unavailable due to a negative Quality Control. This is related to the SmartTrade Quality Management module. |
Short Exp.Date Status | With this setting you can set the status for Variants which are close to their Expiration date. This is related to Signal Exp.Date 1 and 2 settings on the Quality Fast Tab in the SmartTrade Setup |
Variant Status Completed | With this setting you can set the status for Variants which cannot be traded anymore. This Status needs to me set manually on every relevant Variant. |
Fast Tab Finance
Field | Description |

Online Exchange Rate Selection | This setting indicates if you allow the system to collect (daily) online currency exchange rates. This is related to the Business Central Currency Exchange Rate Services |
Hide Credit Check Sales Quote | With this setting you are able switch off the Credit Limit check on Sales Quotes. This is related to the Credit Warnings setting within the Sales & Receivable Setup |
Hide Credit Check Sales Order | With this setting you are able switch off the Credit Limit check on Sales Orders. This is related to the Credit Warnings setting within the Sales & Receivable Setup |
Hide Cr. Check Blanket Order | With this setting you are able switch off the Credit Limit check on Sales Blanket Orders. This is related to the Credit Warnings setting within the Sales & Receivable Setup |
Credit Limit Interval | This setting lets you setup a Date interval (date formula) to use when a credit limit check is done by the system |
Purch.Journal Entries Per Line | This settings indicates if the system wil post Ledger Entries (Item-, Value-, General-) per line instead of combining them by G/L Account or Item, Variant when posted from a Purchase Journal |
Sales Journal Entries Per Line | This settings indicates if the system wil post Ledger Entries (Item-, Value-, General-) per line instead of combining them by G/L Account or Item, Variant when posted from a Sales Journal |
CBS Export Folder | With this setting you can setup up where the CBS Export file will be placed when exporting the CBS declaration. It is recommended to use full UNC paths (\\servername\sharename\..) |
Fast Tab Purchase
Field | Description |

Use Creator as Purchaser | This setting indicates the user entering a purchase document will also be entered as the Purchaser on that document. This is related to the Salespers./Purch. Code within the User setup table. |
Purchase Document Posting Date | With this setting you can choose which date should be used by default as the Posting Date on Purchase Documents. Options are Workdate, Today, From Document. |
Variant Rqrd Purch Quote | This indicates if a Variant is required on the Purchase Quote. |
Variant Rqrd Purch Blkt.Order | This indicates if a Variant is required on the Blanket Purchase Order. |
Variant Rqrd. Purch Order | This indicates if a Variant is required on the Purchase Order. |
Variant Rqrd. Purch Invoice | This indicates if a Variant is required on the Purchase Invoice. |
Variant Rqrd. Purch Credit | This indicates if a Variant is required on the Purchase Credit Memo. |
Variant Rqrd Purch Return | This indicates if a Variant is required on the Purchase Return Order. |
No Purch.Price Suggestion | False = No Purchase price suggested on Purchase Documents, True = Purchase price calculated based on default price calculation |
Country Code Rqrd Purch. Doc. | This indicates if the Country Code is required on Purchase Documents. |
Default Purch. Posting Action | This setting lets you choose the default posting action on Purchase Orders. Options are Receive, Invoice, Receive and Invoice. |
Container Required On Receipt | This indicates if a Container Number is required when posting the Purchase Receipt. |
Purch.Code Required/Purch.Ord | This indicates if the Purchaser Code is required on the Purchase Orders. |
Gen.Jnl Template Receipt | Item Journal Template used for transferring inventory from Sailing Goods to final location. |
Gen.Jnl Batch Receipt | Item Journal Batch used for transferring inventory from Sailing Goods to final location. |
Purch. Quote Purch.Price Required | This indicates if the Purchase price is required on Purchase Quotes. |
Purch. Order Purch.Price Required | This indicates if the Purchase price is required on Purchase Orders. |
Blkt.Purch. Order Purch.Price Required | This indicates if the Purchase price is required on Blanket Purchase Orders. |
Transfer Item Planning To SKU | Specifies that item planning parameters are copied to the SKU records when created or updated. |
Open Lot/Serial Windows On New | Specifies that the Lot/Serial card is opening automatically when entering new lot/serial numbers. |
Warning ETD Delayed | Indicates if warnings need to be visible when the ETD on Transport Orders is delayed. |
Fast Tab Sales
Field | Description |

Use Creator As SalesPerson | This setting indicates the user entering a sales document will also be entered as the Salesperson on that document. This is related to the Salespers./Purch. Code within the User setup table. |

Create Variant On Sales Order | This setting indicates if the system needs to create a Variant when creating new Sales Lines. |
Default Sales Posting Action | This setting lets you choose the default posting action on Sales Orders. Options are Ship, Invoice, Ship and Invoice. |
Container Required On Shipment | This indicates if a Container Number is required when posting the Sales Shipment. |
Item Weight Required | This indicates if the Item Weight is required on Sales Documents. This is related to the Weight fields within the Item Unit of Measure table. |
Tariff No. Required | This indicates if the Tariff Number is required on Sales Documents. This is related to the Tariff No. field within the Item table. |
Empty Shipment Method New Orders | This indicates if the system should leave the Shipment Method (Incoterms) field blank when creating new Sales Documents. |
Empty Shipment City New Orders | This indicates if the system should leave the Shipment City field blank when creating new Sales Documents. |
Salesperson Rqrd Sales ord. | This indicates if the Salesperson Code is required on the Sales Orders. |
Suggest Blanket Order on Quote | This field indicates if the system should automatically try to connect Sales Quote lines to Blanket Sales Lines, if available. |
Sales Quotes Unit Price Reqrd. | This indicates if a Sales Quote line cannot be entered without a valid Unit Price. The check is done when releasing the document. |
Sales Order Unit Price Rqrd. | This indicates if a Sales Order line cannot be entered without a valid Unit Price. The check is done when releasing the document. |
Blkt.Sales Unit Price Rqrd. | This indicates if a Blanket Sales Order line cannot be entered without a valid Unit Price. The check is done when releasing the document. |
Start Sales Favourable Interv. | In terms of availability with this field you can setup the starting interval for the Favorable colour. This is related to Colour field on the General Fast Tab of the SmartTrade Setup. |
Start Sales Unfavourable Interv. | In terms of availability with this field you can setup the ending interval for the Favorable colour. This is related to Colour field on the General Fast Tab of the SmartTrade Setup. |
Standard Sales Quote Validity | This field lets you setup a date formula which is used to calculate the Validity date for new Sales Quotes. The calculation is done based on the Document Date field. |
Sales Entry Without Costprice | This setting indicates if a Cost Price is required when entering a Sales line. This check is done when releasing the Sales document. |
Sales Posting Without Costpr. | This setting indicates if a Cost Price is required when posting a Sales Document. |
Blanket Order Required | This setting indicates if every Sales Order Line needs to be connected to a Blanket Sales Order. |
Minimum Sales Margin % | This filed lets you setup a minimum margin % on Sales Orders. This is checked once the Sales Order is posted. |
Base Sales Margin | This filed lets you choose the basis for the Minimum Sales Margin. |
Fast Tab Logistic
Field | Description |

URL Shipment Tracking IMO | Setup the URL for tracking vessels based their IMO number. This relates to the IMO number in the Transport table. |
Default Containertype Code | With this field you can setup a default Container type for all Documents. This can be overruled by customer/vendor settings or manually on the documents. |
Default Pallet Type Code | With this field you can setup a default Pallet type for all Documents. This can be overruled by customer/vendor settings or manually on the documents. |
Default Destination (Harbour) | This field lets you setup a Default Destination for receiving Purchase documents by Sea. This relates to the Entry/Exit table. |
Default Destination (Air) | This field lets you setup a Default Destination for receiving Purchase documents by Air. This relates to the Entry/Exit table. |
Ship Qty. > Order Qty. | With this you can indicate it is possible to Ship more then was ordered on the Sales Orders. |
Receive Qty. > Order Qty. | With this you can indicate it is possible to Receive more then was ordered on the Purchase Orders. |
Tolerance % Purch.Receipt | Related to the 2 setting above you can setup a Tolerance % for Shipping or Receiving more then was ordered. |
Inner Qty Code | This field lets you setup the default Unit of Measure code used as the Inner Carton. |
Outer Qty. Code | This field lets you setup the default Unit of Measure code used as the Outer Carton. |
Always Break per Zone (pick) | Indicates if the system needs to split up warehouse picks by Zone when created. |
Auto Create Transport | ??Indicates if the system needs to create Transport Orders automatically?? |
Fast Tab EDI
Field | Description |

EDI Test Modus | With this setting you can make sure all outgoing messages are flagged as Test mesages so these will never be processed in a Production environment at your EDI partner. |
EDI Company No. (SSCC) | EDI Registration No. for SSCC pallet labels. |
EDI Order Archive Per | When EDI messages are imported they are stored in the Archive folder. With this field you can choose by which period you want to store them. Options are Day, Week, Month, Year. The system will create new folders per period automatically. |
EDI Invoicemsg on posting | This indicates if you want the system to create EDI messages automatically for your EDI partners when posting Sales Invoices (INVOIC). |
EDI Shipmentmessage after posting | This indicates if you want the system to create EDI messages automatically for your EDI partners when posting Sales Shipments (DESADV). |
EDI Import EAN Code Required | This indicates if EAN codes are required within the EDI Orders when importing. |

Journalize indirect cost | This setting indicates if you want the system to post additional journal lines for expected costs when posting a Purchase Order. These journal lines are related to the Document Cost Lines from the Cost Calculation. |
Post Indirect Purchase Cost | This setting lets you choose at which moment the additional Journal lines for Indirect Cost will be posted. Options are On Receipt, On Invoice. |
Post receipt for direct cost | This setting indicates if you want the system to post the Purchase Receipt against Direct Cost only without the Expected Cost coming form the Cost Calculation. |
Gen.Jnl Template Indirect Cost | Defines the template used for posting the indirect cost journal lines. |
Gen.Jnl Batch Indirect Cost | Defines the batch used for posting the indirect cost journal lines. |
Currency Coverage | |
Journalize Coverage | This setting indicates if you want the system to post additional journal lines for covered currency rates when posting a Purchase Invoice. |
Gen.Jnl. Template Currrency | Defines the template used for posting the currency coverage journal lines. |
Gen.Jnl. Batch Currrency | Defines the batch used for posting the currency coverage journal lines. |
Currency Cov. Purch. Invoice | Indicates if you want the system to require you to check the currency coverage rate when posting purchase invoices. It will require to manually enter the coverage currency rate at al lines. |
Currency Cov. Sales Invoice | Indicates if you want the system to require you to check the currency coverage rate when posting sales invoices. It will require to manually enter the coverage currency rate at al lines. |
Post Currency Revaluation | Indicate if you want to post currency revaluation. |
Recalculation Tolerance | Indicates the amount of tolerance which the system needs to consider whether is should post currency revaluation. |
Revaluation Nos. | Number series used for for currency revaluation. |
Gen.Jnl Template Revaluation | Defines the template used for posting the currency revaluation. |
Gen.Jnl. Batch Revaluation | Defines the batch used for posting the currency revaluation. |
Min. Amount Currency Revaluation | Setup to determine the minimum amount for currency revaluation to avoid lots of journal lines with very small amounts. |
Fast Tab Quality Control
Field | Description |

Check variant release status | This setting indicates if you want the system to check on the Item Variant Release Status before the Variant can be use on Sales Documents. |
Issue Nos. | Defines the number serie for Issues. |
Signal Exp.Date 1 | This field lets you setup a date formula which the system will use to mark batches which are close to their expiration date. This is shown in a different color. |
Signal Exp.Date 2 | This field lets you setup a second date formula which the system will use to mark batches which are close to their expiration date. This is shown in a different color. |
Fast Tab Administration
Field | Description |
---|---|
Calculate Ind.Cost Percentage | This setting indicates if you want the system to calculate the Indirect Cost % based on the Cost Calculation use to calculate the Indirect Cost amount when posting Purchase Invoices. WARNING: With this setting True the 'Post receipt for direct cost' setting (Fast Tab Costprice and Currency) should also be True to avoid double posting of the Indirect costs. |
Automatic Update Costprice | This indicates if you automatically want the system to update the costprice every time a new Purchase Cost Invoice is posted which influences item costprice. It is also possible to do this periodically. |
Split Free/Not Free Cost Price | This settings indicate if you want the system to split between costprice for Custom Cleared and Not Custom Cleared goods. This wil extend the option under the Default revaluation method field. |
Default revaluation method | This indicates which value the system should use when revaluation Inventory. Options are Last Direct Unit Cost, Standard Cost Assembly List, Standard Cost Manufacturing, Expected Cost (Free), Actual Cost (Free) |
Use Expected Cost Sales Order | This indicates if you want to have the system use the Cost Price including Expected Cost on Sales Orders. |
Fast Tab Inheritance

Use Cust.No as Contact No. | Indicates if you want to use the same number for creating the contact when creating new customers. |
Use Vend.No as Contact No. | Indicates if you want to use the same number for creating the contact when creating new vendors. |
Blkt.No. To Purch Order | Indicates if you want the Purchase Order to have the same No. as the Blanket Purchase Order when created from the Blanket Purchase Order. |
Blkt.No. To Sales Order | Indicates if you want the Sales Order to have the same No. as the Blanket Sales Order when created from the Blanket Sales Order. |
Variant From Sales Blnkt to Sales Order | Indicates if you want the Blanket Sales Order Line variant to be copied to the created Sales Order Line. |
Variant Purch Blkt. To Order | Indicates if you want the Blanket Purchase Order Line variant to be copied to the created Purchase Order Line. |

EDI Envelop Nos. | Number series used for EDI Envelops created when importing en Exporting EDI messages. |
SSCC Pallet Nos. | Number series used for SSCC palletlabels. |
Tariff Contract Nos. | Number series used for contracts about logistical tariff. Tariff Contracts are related to the Location codes. |
Manufacturer Nos. | Number series used for manufacturers. |
Transport Order Nos. | Number series used for Transport Orders. |
Posted Transport Order Nos. | Number series used for Posted Transport Orders. |
Fast Tab Documents
Field | Description |

Save Sales Documents | Indicates if you want to save Sales Documents when completely posted (Orders) or converted into Order (Quotes). |
Save Purch. Orders | Indicates if you want to save Purchase Orders when completely posted from the order. |
Store Sales Docs On Approval | Indicates if you want the system to save a copy of the Sales Documents once they are approved. |
Storage Folder Sales Archive | This field will let you setup the path for saving Sales Documents on approval. |
Sales Storage Structure | This field will let you setup the period for saving Sales Documents on approval. Options are Year, Month, Week, Customer + Year. Folders are created automatically. |
