Sailing Goods

In this chapter we describe how to setup and make use of the Sailing Goods functionality within SmartTrade.

Sailing Goods Setup

To make use of the Sailing Goods Functionality following setup is needed:

  • Sailing Goods Location
  • Item Journal Batch
  • SmartTrade Setup

 

Sailing Goods Location

For using the SmartTrade Sailing Goods functionality at least one new Location code needs to be added. Use the Tell me what you want to do function (Ctrl + Q) searching for Locations and press New to create a new Location Code. This location code needs at least following values.

  • Code = SG (SmartTrade demo setup uses 'SG')
  • Description = Sailing Goods (SmartTrade demo setup uses 'Sailing Goods')
  • Location for Transit Goods = True
  • Inventory Status = Unavailable
    This is to make sure inventory on this location is not available for sales orders
  • Customs Status = Free
    When you make use of the Customs module it might be useful to create separate Sailing Goods Locations for Free / Non Free inventory

On every location code you like to make use of the SmartTrade Sailing Goods functionality you need to setup the newly created SG location as the Transit Free location.
When you make use of the Customs functionality you also need to setup a Transit Not Free location.

 

Item Journal Batch

For the Sailing Goods functionality a specific Item Journal Batch needs to be created. Use the Tell me what you want to do function (Ctrl + Q) searching for Item Journal Templates.

Only a Code and Description will do. No Series setup on the Item Journal Batch are not allowed in this process.

 

SmartTrade Setup

Use the Tell me what you want to do function (Ctrl + Q) searching for SmartTrade Setup.

On the Purchase Tab of the SmartTrade Setup the Item Journal Template and -Batch for Sailing Goods need to be setup. This will be done in fields Gen.Jnl Template Receipts and Gen.Jnl Batch Receipts

 

Sailing Goods Process

The SmartTrade Sailing Goods functionality simply starts by creating a Purchase Order like you are use to using the location code for which the Transit Free and/or Transit Not Free fields have been setup with a Sailing Goods Location.

The Sailing Goods Functionality basically is processed in to parts:

  1. Receiving to Sailing Goods
  2. Transferring from Sailing Goods
    This part has several alternatives which can be used

 

Receiving Sailing Goods

After the Purchase Order is completed and the goods are on transport (by Sea, Air, Train) you simply post the Purchase Order. Only option you will have is Receive.

SmartTrade will receive the inventory on the Sailing Goods Location. Based on the Sailing Goods Location setup it will not be available for sales.

Depending on the Inventory and SmartTrade setup, an interim inventory value will be posted in to the General Ledger, just like normal receipts would have.

 

Transferring from Sailing Goods

When the products have arrived on the Entry Point (harbor, airport, etc.) a few options exist to transfer the inventory from the Sailing Goods Location to a location where it will be available for sales and other processes.

Register External whse. receipt

From the Purchase order click the Register external whse. receipt option via Related > SmartTrade > Actions. On page SmartTrade External Whse. Receipt enter a Receipt Date and Receiving Location and on line level enter the Received (Warehouse) field an post the receipt. The inventory will be transferred from Sailing Goods to the Receiving Location.

Create Transfers

Form the Purchase Order click the Create Transfers option via Related > SmartTrade > Actions. Depending on setup 1 or more Transfer Orders will be created. Based on setup at least 1 Transfer Order will be created from Sailing Goods to the Purchase Order location. This Transfer Order can be handled like any other Transfer Order.

Containers

In case containers have been entered for this Purchase Order, The Transfer Order will be created for the first container. From the Transfer Order Line a function (Get Container lines) can be used to transfer multiple containers from Sailing Goods to the Receiving location.
This can also be used in case Transfer Orders are created manually.

Note

Additional Transfer Orders can be created automatically to transfer inventory from Sailing Goods to the Entry Point location for situations the products stay in the harbor for couple of days/weeks. This is depending on the
